Contact form

Who is responsible

Amantio GmbH, Lättichstrasse 6, 6340 Baar, Switzerland, is responsible for processing personal data in connection with ABOUT HER, this website and the preparation and running of the fair. For privacy questions, please use the contact form or write to the postal address above.

Visiting the website

When you visit the website, our hosting provider processes technical details in server logs, such as your IP address, the time, requested address, browser information and request status. This is used to provide, secure and troubleshoot the website. The technical hosting and email provider is METANET AG, Switzerland.

Contact and partnership enquiries

When you use the form, we process your name, brand or organisation, email address, optional phone number, selected interest and message. We use these details to reply and discuss a possible collaboration.

Your form details are sent to our internal email inbox. No separate contact database is created on the website. If you email us directly, we process the information you share. Email delivery also involves the email providers used by each party.

Exhibitors, partners and contracts

For quotations, bookings and business relationships, we process our contacts’ details, their role and organisation, correspondence, and contract, invoice and payment information. We also process information needed to run the fair, for example about stand staff, booked services and supplied promotional materials. We use this data to prepare and fulfil contracts, coordinate the fair, handle billing and address claims.

The data comes from you or your organisation. When identifying potential exhibitors and partners, we also use publicly available professional information, for example on company websites and LinkedIn. An enquiry or booking does not automatically subscribe you to a newsletter.

Contact management with Pipedrive

We use Pipedrive to manage business contacts, enquiries, quotations and bookings. This includes names, business contact details, organisations and roles, conversation notes, correspondence and the status of the business relationship.

Pipedrive and its service providers may process data outside Switzerland. Pipedrive lists Germany, Ireland, the United Kingdom, the US, Canada and Australia as hosting countries. Group companies providing services and support are also located in Estonia, Latvia, Portugal and the Czech Republic. The locations and additional providers involved depend on the account allocation and the features used. The list linked below identifies recipients, countries and transfer mechanisms; for certain transfers, Pipedrive provides for standard contractual clauses adapted for Switzerland.

Tickets and admission

Tickets are sold through Ticketmaster Schweiz AG. Ticketmaster processes contact, order and payment details when you make a purchase. The privacy information provided by Ticketmaster at the time of purchase explains its processing, the payment service providers involved and any international transfers.

Where Ticketmaster provides us with information to run the fair, we process the necessary contact, booking and ticket details to assist visitors, check admission rights and communicate important event information. Buying a ticket does not itself subscribe you to our newsletter.

Visitor data is not automatically shared with exhibitors. If you provide an exhibitor with your contact details, for example for a newsletter or consultation, that exhibitor is responsible for its own data processing.

Photography and video

We and people working on our behalf may take photographs and make video recordings at the fair to report on and promote ABOUT HER. Your image, voice and the context of your attendance may be identifiable. Recordings may appear on our website, in newsletters, on our social media channels and in print and advertising materials.

We provide information about recordings and their use at ticket purchase or registration and at the venue. Where consent is required, we obtain it separately; buying a ticket does not replace that consent. You can raise objections with event staff or through our contact form. You can withdraw consent for future use.

Depending on the channel, published recordings are publicly accessible and may be shared by others, including abroad. Social media platforms also process data under their own privacy policies. Exhibitors are responsible for their own recordings and their use.

Form protection and cookies

When you submit an enquiry, we use a technically necessary session cookie to protect the form from misuse. It links the security check to your enquiry. It is not used for advertising or tracking your behaviour across other websites.

To limit automated requests, timestamps and a value derived from your IP address using a secret key are processed temporarily. Form protection does not store message content. Fonts and images are loaded directly from the website hosting.

Newsletter

When you subscribe, we process your email address, the signup form language and records of your signup and confirmation. We use these details to send ABOUT HER updates, including news about brands and the programme. Your subscription starts only after you click the confirmation link in our email. You can unsubscribe at any time using the link in each newsletter.

We use MailerLite Limited, Ireland, to manage signups, subscribers and delivery. The form software loads only when you interact with the newsletter form. At that point, MailerLite receives technical details such as your IP address and browser information. When you submit the form, it also receives your email address. MailerLite and its service providers may process data outside Switzerland.

We keep your details while you are subscribed. After you unsubscribe, we may retain records needed to document your consent and prevent further emails. A partnership enquiry does not subscribe you to the newsletter.

Google Analytics and your consent

We use Google Analytics 4, provided by Google Ireland Limited, only if you allow analytics. Google receives technical details about your device and browser, page visits, the referring website and events such as clicks to the enquiry form and successful submissions. Your enquiry contents, name, email address and phone number are not sent to Google Analytics.

Until you agree, Google Analytics is not loaded and no analytics data is sent to Google. If you agree, Google sets analytics cookies that last up to six months. Your choice is stored locally in your browser for six months. You can change or withdraw it at any time through “Cookie settings” in the footer. If you withdraw consent, we stop measurement and remove the Google Analytics cookies set on this website.

Google may process data outside Switzerland, particularly in the US. We do not use Google advertising features or Google Signals. The link below explains how Google processes data.

How Google processes data from websites

Sharing and retention

Personal data is accessible to the people responsible for the relevant task and the service providers needed for it. These include providers for hosting, email, contact management, newsletters, ticketing and event operations, as well as commissioned photographers and video producers. Banks, accountants and legal advisers may also receive data where needed for payments, accounting or legal claims. Disclosures to authorities required by law remain possible. We do not sell your personal data.

We retain personal data for as long as needed for its purpose, the business relationship or legal claims. We retain invoices and accounting records for the statutory retention period. We then delete or anonymise the data unless another lawful reason for retention applies. The newsletter information above also applies. Photographs and videos may be retained to document and promote the fair; valid deletion requests and withdrawal of consent are taken into account.

Your rights

You can use the contact form or write to us by post to request information about your personal data, request correction or deletion, or object to processing. Where provided by law, you can also request a copy or transfer of your data. You can withdraw consent for future processing at any time. Statutory conditions and restrictions apply. You may also contact the Swiss Federal Data Protection and Information Commissioner (FDPIC).

Changes

We update this policy when our data processing changes. The version published here applies.
